Data controller

What data we collect
When you fill in the contact form or email us, we may collect:
- Name
- Email address
- Phone number (optional)
- Company name (optional)
- Your message / project description
- An indicative budget or the service you are interested in (optional)
- The source of your visit (e.g. search engine, ad or referring page), the entry page and any campaign parameters — as described in the “Cookies & analytics” section
“Ask us to call you”
On the home page and the contact page there is a separate field where you can leave only your phone number so that we call you. We do not ask for a name, an email address or anything else.
In that case we collect the number you type, the time and the page of submission, plus the same origin data described above: the source of your visit, the entry page, the referring page and any advertising campaign parameters. The number is used only to contact you about your request — it is not added to any marketing list and it is not used for promotional messages. Beyond the hosting and email providers described below, it is not passed to third parties.
The lawful basis is taking steps prior to entering into a contract at your request (Article 6(1)(b) GDPR): you are explicitly asking us to call you. You can ask us to delete your number at any time at info@designontime.gr.
Lawful basis
We process this data on the basis of your consent (given when you submit the form) and/or to take steps prior to entering into a contract at your request (Article 6(1)(a) and (b) GDPR).
Purpose
We use your data solely to reply to your enquiry, send you a quote and communicate about the project — including a phone call, if you have left us your number. We do not use it for automated decision-making or profiling.
Retention
We keep contact messages for as long as needed to handle your enquiry and, if we work together, for as long as our contractual and tax obligations require. Otherwise we delete them within a reasonable period (up to 24 months).
Recipients & processors
We do not sell or rent your data to third parties. To run the website and our communication, we rely on trusted providers acting as processors:
- A website hosting provider
- An email provider to send and receive messages
- An EU-based database provider for the live chat
Cookies & analytics
We use Google Analytics 4 for anonymous traffic statistics and to measure the performance of our advertising (Google Ads), and the Meta Pixel to measure our advertising on Facebook and Instagram. The related cookies are activated ONLY if you give consent in the banner shown on your first visit; until then no tracking cookie is stored and the Meta Pixel does not load (Google Consent Mode v2). If you have consented and submit a contact form, we may pass your email or phone number to Meta in hashed (encrypted) form, solely to measure the conversions of our ads.
To understand where enquiries come from, we store the source of your visit and the entry page (e.g. search engine, ad, or referring page) locally in your browser (session storage, no cookies at all). This information stays on your device and is normally deleted when you close the tab; it reaches us together with your details only if you submit the contact form or book a call. Only if you have accepted analytics cookies are the original source and entry page kept across visits and the source category (e.g. “organic search”) included in our anonymous statistics (Google Analytics).
In addition, we keep our own anonymous, aggregate usage statistics — which pages are viewed, how far they are read and for how long, the category of the visit source (e.g. search or advertising), the device type (mobile or desktop), the part of the day, and whether a form was used (yes/no only, with no content whatsoever). This measurement uses no cookies, stores and reads nothing on your device, and includes nothing that could identify you (not even an IP address); for that reason it operates independently of your choice in the banner.
You can change or withdraw your consent at any time via the “Cookies” link in the footer. We never sell or hand over your data to third parties for their own purposes.
Live chat
If you use the chat window on this website, we process the content of your messages and our replies, together with technical details of your visit: the page you wrote from, your device/browser type, the referrer, and your IP address. We process your email address only if you choose to provide it, so that we can reply when we are offline.
The lawful basis is taking steps at your request prior to entering into a contract, and our legitimate interest in supporting enquirers (Art. 6(1)(b) and (f) GDPR). Conversations are kept for up to 12 months after the last activity and are then deleted automatically.
To run the chat we store a conversation identifier on your device (local storage, “dotchat”) so you can continue the same conversation on a later visit. It is not an advertising cookie and does not identify you beyond your conversation. Data is hosted in a database located in the European Union (Frankfurt).
Your rights
Under the GDPR you have the right to:

- Restrict and object to processing
- Withdraw your consent at any time
